When Your Flight Department Can't Keep the Aircraft Staffed and Ready...

Scheduling conflicts, pilot shortages, and maintenance delays don't just ground your jet — they signal deeper gaps in how your department is run. I help aircraft owners and flight department leaders close those gaps, restore reliable aircraft availability, and operate with the discipline of a well-run flight department.

Patrick M. Newcomb

CEO / Principle Consultant

Owning a business jet should mean reliable access to it. When staffing shortfalls, scheduling conflicts, or maintenance gaps get in the way, the cost isn't just inconvenience — it's canceled trips, emergency charter spend, and a department stuck in reactive mode.

I've spent over 30 years in aviation, including time as Chief Pilot and Director of Flight Operations, leading flight departments through exactly these challenges. I bring that operational experience directly to your team — identifying what's breaking, why it's breaking, and how to fix it — so your aircraft is ready when you need it, not when your department finally catches up.

Corporate Flight Departments

Corporate Flight Departments

Corporate Flight Departments

Whether your department is well-established or growing fast, staffing gaps and scheduling strain are usually the first sign of deeper operational issues. We work alongside your leadership to identify the root cause — from crew bench depth to process breakdowns — and build a department that delivers consistent, reliable aircraft availability.

Business Aircraft Owners

Owning an aircraft is a significant investment, and staffing decisions determine whether that investment pays off. We provide independent guidance on crew staffing, operations, and long-term flight department strategy — so your aircraft is available when you need it, not sidelined by avoidable staffing gaps.

Private aviation should mean convenience, not another operational headache. We help you navigate staffing, crew sourcing, and flight department decisions with the same discretion and attention to detail you expect from every part of aircraft ownership.

Family Offices

Family offices need aviation solutions built on discretion, reliability, and sound judgment — not guesswork. We help family office leadership build staffing and operational structures that hold up under pressure, protecting both the asset and the people who depend on it.

Common Signs Your Flight Department Needs Support

Aircraft Frequently Unavailable

Frequent Need for Contract Pilots

Frequent Need for Contract Pilots

If scheduling conflicts, staffing gaps, or maintenance delays keep your jet grounded when you need it, that's not bad luck — it's a signal. Reliable aircraft availability is the whole point of ownership, and consistent unavailability points to deeper planning or staffing issues underneath.

Frequent Need for Contract Pilots

Using contract pilots occasionally is normal. Relying on them constantly usually means your department has a staffing gap it hasn't solved — and that gap is quietly costing you consistency, culture, and control over who's flying your aircraft.

Frequent Pilot or Staff Turnover

Frequent Pilot or Staff Turnover

Losing experienced crew isn't just disruptive — it's a warning sign. High turnover almost always traces back to management, unclear expectations, or unaddressed operational strain, and it puts both safety and reliability at risk.

Reactionary Environment

Frequent Non-Budgeted Expenses

Frequent Pilot or Staff Turnover

If your department is always putting out fires instead of preventing them, that's a sign of gaps in planning, staffing, or process — not just a busy season. A well-run flight department anticipates problems before they ground the aircraft.

Frequent Non-Budgeted Expenses

Frequent Non-Budgeted Expenses

Last-minute maintenance, unplanned crew overtime, or emergency charter replacements are expensive symptoms of a department operating without the planning or staffing structure to stay ahead of problems.

Staff Interpersonal Issues

Frequent Non-Budgeted Expenses

Frequent Non-Budgeted Expenses

Ongoing tension or poor communication among flight department staff rarely stays contained — it shows up in mistakes, inefficiency, and eventually turnover. It's usually a sign the department needs a fresh, objective look at how it's structured and led.

REAL RESULTS

Turning a Risky Delivery Into a Day-One-Ready Aircraft

An aircraft owner came to us evaluating a proposed management company for their new Challenger 3500 — our review of staffing depth and crew readiness helped them choose a more capable partner instead. Meanwhile, no one was managing the technical side of the aircraft's delivery, which would have left it grounded for weeks awaiting regulatory approvals. We stepped in, ran pre-delivery functional flights that caught issues before they caused delays, and set up the avionics subscriptions and LOAs needed to fly commercially. The result: an aircraft operational the moment it was delivered — not weeks later.

Saving a New Owner Over $500,000 a Year Before the First Flight

A new aircraft owner was preparing to staff their jet the conventional way — two full-time pilots, based at their local airport. Before they committed, we evaluated their state's tax exposure, the local pilot market, hangar and fuel costs, and their actual projected flight hours. The numbers told a different story: a contract pilot staffing model, with the aircraft based in a neighboring state, delivered the same operational readiness at a fraction of the cost. The result: over $500,000 a year saved in unnecessary payroll, hangar rent, fuel, and use tax — money the owner never had to spend in the first place.
